You may receive a warning or experience export failure when the volume of selected data approaches or exceeds the maximum Data Export size limit, as indicated within the application. To ensure your export completes successfully, consider the following ways to reduce and optimize your export:

What does the Data Export size warning mean?

  • Data Exports have a maximum allowed size, which will be displayed in the application.

  • You’ll see a warning when you’re nearing the 80% limit so you can take action before it fails.

  • If the selected data exceeds the limit, the export won’t complete successfully, and will be disabled.

  • You'll have an option to re-enable it after making changes.

How to reduce Data Export size

To stay within the allowable size and avoid Data Export errors:

  1. Apply more filters

    • Narrow your dataset using filters like date range, category, or status.

    • Shorter timeframes (e.g., exporting by quarter instead of the full year) help reduce size.

  2. Select fewer columns

    • Remove unnecessary fields or columns that aren’t essential to your analysis.

    • Each column adds data size. Fewer columns also help make the exports smaller.

  3. Split large exports

    • Break down large exports into smaller chunks.

    • For example, run separate exports by region, business unit, or time period.

  4. Avoid large fields

    • Long text fields like Description and other multi-line text fields can add significant weight to an export.

    • Consider excluding or minimizing these where possible.

What if I do nothing?

If the Data Export exceeds the allowed size limit:

  • It will fail without generating a file, and will be disabled temporarily.

  • You’ll need to adjust your filters or selections and try again.
